We have a small team that chases up outstanding copy, although it is the advertiser's responsibility to submit copy on time and to specification. If we don't receive copy by the deadline, we may have to fill the space with other copy so the page can be released on time. This is outside our control, so please don't leave everything to the last minute in case you suffer a technical problem. You should be aware that, in these circumstances, the space will still be invoiced.
Unique Reference Numbers (URNs) are allocated to every advertisement booking on our system. They are the seven-digit numbers by which we identify the files we receive and match them with their space on the page. If you can always start your filename with this number, it makes it easy to identify and minimises the potential for mistakes to be made.
We could write a book about all the things that can, and do, go wrong with emailed files. None of us want that to happen. There can be problems with fonts, resolution, colours, transparency, overprinting and sizes amongst other things. These errors need to be fixed before we get the file. We don't employ people to diagnose and resolve these issues, so we ask advertisers to use one of the recommended delivery systems, which run preflight checks. They identify the problems early in the production cycle, while there is still time to address them. For this reason, we encourage you to submit your file in good time.
For more details about the risks of using unvalidated files, see here.
You need to make sure whether your booking is for a Classified or Display site for several reasons, the main ones being that the deadlines and sizes are usually different. If you are not sure, ask the person who made the booking for you.
For direct advertisers who do not have the facility or expertise to supply their own files, we offer two options: our copy team will be happy to give you contact details of people who could do the work for you at a commercial rate; alternatively, if your copy is ready in good time and you are satisfied with a modest choice of typefaces and a single proof, our in-house team could do it for you. You need to make this requirement clear when you make your booking, so it can be processed appropriately.
